A2 Exhibits / Las Vegas
Plan the booth, the deadlines and the handoffs.
A trade show exhibit is both a designed space and a sequence of decisions. Use the current exhibitor manual and official service information for your event, whether it is at the Las Vegas Convention Center, Venetian Expo, Mandalay Bay or another venue.
1. Confirm the event and the assigned space
- Record the show, venue, hall, booth number, dimensions and open sides.
- Collect show dates, move-in and move-out windows, and ordering deadlines.
- Save the current exhibitor manual, floor plan and official service forms.
- Identify height, sightline, access and approval requirements that affect the concept.
The show’s current rules govern the project. A venue name or a past exhibit photograph does not establish contractor approval, access rights or available production dates.
2. Write the visitor and product brief
- Define the audience and the most important action a visitor should take.
- List product dimensions, weights, supports, security and demonstration needs.
- Specify reception, meetings, storage, staff positions and technology.
- Share brand files and references you are permitted to use.
- State the target budget and which event costs it needs to cover.
Download the project brief template and compare booth footprints.
3. Agree the design and production decisions
Review the layout and 3D views, then confirm the drawings, component specifications, graphics, finishes and technical interfaces needed for production. Name the approver for each deliverable and agree the decision dates.
Ask the proposal to identify revisions, open assumptions, optional items, exclusions and the process for changes. Design images communicate the concept; approved production information defines the build.
4. Connect freight and official services to the installation
- Identify who books transport and who handles material handling.
- Confirm which electrical, rigging, internet or other tasks need official providers.
- Review assembly instructions, component inventory, access windows and supervision.
- Confirm who places service orders and tracks their deadlines.
- Keep the show-site contact and escalation responsibilities clear.
Show service charges and labor terms vary. Include only the charges and services expressly agreed in the written proposal.
5. Plan dismantle before the show opens
Define the packing sequence, empty-crate arrangements, condition checks, outbound carrier and return destination. For a rental, confirm return and damage terms. For a reusable exhibit, identify repairs, storage and the next event’s requirements.
Planning questions
How early should I start planning a booth?
Start when you have a likely event and enough information for a useful brief. Timing depends on design, production, procurement, approvals and venue access. Send the actual dates so A2 can review feasibility.
Does the online quote reserve production or installation?
No. Submitting the form starts a scope review. The accepted written proposal establishes the work, commercial terms and commitments.
What if my design or event details are incomplete?
Use the quote form to share what is known and explain the unresolved items in the project notes. Include the show or venue and the dates you are working toward so the next questions can be identified.
